Section numbers are the backbone of the list, and they are easy to mistype.

Every submittal is filed, transmitted, and reviewed under its section number. Typing 09 91 23 as 09 92 13 sends a paint submittal to the wrong folder and the wrong reviewer. Books mix formats too: current six-digit numbers, level-four numbers such as 31 62 13.13, and older five-digit numbers from master specifications that were never renumbered.

Where tooling usually breaks

Titles drift when they are typed from memory.

Section titles change between editions and between offices: Cast-in-Place Concrete, Concrete, Structural Concrete. A list that uses a remembered title instead of the one printed in this project’s book makes transmittals harder to match, and a list sorted as plain words rather than by number scatters a division across the sheet.

Division 01 sets the rules

Section 01 33 00 Submittal Procedures sets the schedule of submittals, and the closeout sections list warranties, record documents, and operation and maintenance manuals for the whole project.

Sorted by Section, the Division 01 rows sit at the top of the list as Preconstruction, Closeout, and Operation and Maintenance Data rows, each cited to its paragraph, so the project-wide items come ahead of the trade sections.

An owner’s legacy five-digit master spec

An owner’s standard specifications still use five-digit section numbers such as 03300 and 09900, and the submittal list has to match the book exactly as issued.

Spec Register Builder reads 03300 as printed and keeps it in the Spec Section column. Where a book prints both forms on the title line, such as 03 30 00 (03300), the six-digit number is used for the row.

One list per trade

The general contractor wants a separate submittal list for each subcontractor: Division 03 for concrete, Division 08 for openings, and Division 09 for finishes.

Type a section number such as 08 71 00 in Filter rows to read that section’s rows beside their pages, then export the full register and filter the Spec Section column in Excel to hand each trade its own list.

Deep dive

How section numbers, titles, and printed pages are read

The title line. Spec Register Builder starts a section where a line such as SECTION 03 30 00 - CAST-IN-PLACE CONCRETE appears at the top of a page. The separator can be a hyphen, an en dash, an em dash, a colon, or nothing, and a title printed on the line below the number is picked up too. Section 01 33 00 - Submittal Procedures and SECTION 09 91 23 PAINTING read the same way.

Number formats. Current MasterFormat numbers are six digits in three pairs, such as 03 30 00, with an optional fourth pair for level-four sections, such as 31 62 13.13. Some books run the six digits together as 033000, and older master specifications use five digits, such as 03300. All of these are read. When a book prints both, as in 03 30 00 (03300), the six-digit number is kept.

Titles as printed. The title in the Section Title column is the one printed in your book, not a title from a reference list. Spec Register Builder carries no table of section numbers or titles of its own, so a project that renumbers or retitles a section keeps its own numbering in the register.

Where a section ends. A section runs until END OF SECTION or the next title line. A table of contents page does not start a section, a section title repeated in the running header does not split one, and a cross-reference to another section in the body text is read as text.

Printed pages. The printed page on each row comes from the section footer: 03 30 00 - 3 and 01 33 00-1 in CSI style, Page 2 of 12, Page 03-1 numbered by division, or SECTION 01 33 00 Page 2 in UFGS style. The PDF page is recorded as well, so the row works for both the paper set and the file.

Division order. Choose the Section header to sort the table by section number, which puts the rows in MasterFormat order, Division 01 first; choose it again to reverse the order. The export holds every row in book order, section by section, and the Spec Section column filters cleanly in Excel by division or by section.

From list to log. Export XLSX or Export CSV writes the list with fourteen columns, from Spec Section to Notes, plus a Manifest sheet in the workbook with the source file’s SHA-256.

What is a MasterFormat section number?

MasterFormat organizes construction specifications into divisions numbered 00 to 49. A current section number has six digits in three pairs, such as 03 30 00 for cast-in-place concrete, where the first pair is the division. A fourth pair, such as 31 62 13.13, marks a level-four section. Spec Register Builder reads these numbers, and the older five-digit form, from the title line of each section in your book.

Can it read five-digit section numbers?

Yes. Older master specifications number sections with five digits, such as 03300 or 09900, and Spec Register Builder reads them from the title line and keeps them as printed in the Spec Section column. It also reads six digits run together, such as 033000, and the dual form 03 30 00 (03300), where the six-digit number is kept for the row.

How do I see the submittals for one division?

Choose the Section header to sort the register by section number, which groups each division together in MasterFormat order. To focus on one section, type its number, such as 09 91 23, in Filter rows. After you export, filter the Spec Section column in Excel by its first two digits to give each trade its own division list.

What happens to the spec book PDF?

It stays exactly as it was. Spec Register Builder opens the PDF for reading only and never writes to it. Each export is a new XLSX or CSV file that you name in the Windows Save dialog, and the suggested name follows the book, such as Project Manual - submittal register.xlsx. Pick the same book again any time to rebuild the register from the untouched original.
